Non-exempt - 8:00 am – 5:00 pm, Monday – Friday (40 hours per week)

Provide administrative support to the Greenville, NC Branch by performing essential duties and responsibilities listed below.
Description
Location: Greenville, NC
Responsibilities:
- Promote Systel with a positive attitude, professional conduct, and professional appearance at all times.
- Answer all incoming phone calls and assist sales and service personnel with customer calls.
- Handle all customer service requests for supply orders and invoice issues.
- Record and maintain branch inventory; including equipment, accessories and supplies verifying all inventory transfers via E-Automate
- Record and maintain branch sales order log; via e-automate, Ricoh-On-Line. (Check each order in the E-automate to verify correct product numbers, correct sales rep. and to ensure the product comes out of the correct inventory location.)
- Record and maintain all used and lease return equipment for sale, prep and schedule pick up for all lease returns.
- Verify all paperwork for delivery of demos and sales.
- Assist all branch personnel with administrative duties.
- Arrange equipment set-ups for demo and sales.
- Order all equipment for the branch via shuttle and assist with the shuttle delivery.
- Assist corporate personnel and branch personnel with out of territory installs.
- Keep up and maintain appearance of office.
- Keep warehouse organized.
- Keep demo room clean and organized.
- Responsible for shipping & receiving of all inventory in and out of the branch which includes: supplies, and equipment.
- Assist technicians, if needed with maintaining their inventories by tracking down the cause of negative counts in the E-Automate (double check transfers and postings in service history.)
- Assist sales reps with current customer cost analysis when needed & research customer accounts.
- Assist Sales Reps by fielding telephone calls and emails from current & potential customers when the Sales Rep is out of office.
- Provide in-house support for Sales Reps calling from the field needing account information from the CRM, pricing, or promotional information.
- Receive and check orders for accuracy before Branch Sales Manager’s signature.
- Correct any discrepancies in completed orders that do not pass audit at Corporate Level.
- Train Sales Reps on proper paperwork and paper flow of sales orders.
- Handle House Accounts/Branch Sales paperwork that are not assigned to a Sales Rep and which no commissions are available.
- Assist Corporate in locating equipment.
- Contact customers for delivery/move requests, and processing service swap paperwork.
- Maintain the weekly delivery calendar by monitoring inventory, eta’s of back-ordered items. Schedule set-ups with the technicians based on delivery and install dates. Assuring all personnel required for deliveries are included on the calendar invites to include sales rep, network rep, delivery driver and assigned technician for the set-up.
- Assist Sales Reps with proper order procedure and ensure equipment orders are properly placed.
- Provide assistance to Manufacturer Reps to ensure all needs are met for Sales Rep training provided at Branch level.
- Maintain accurate and up to date files of all delivered equipment in individual folders assigned to each Sales Rep.
- Assist Branch Sales Manager, Service Manager and Regional Sales Director with any additional requested duties.
- Scan all orders into Doc-Record and log
- Promote the company with a positive, professional attitude and appearance.
- Provide in-house support for Sales Reps or customers calling from the field who need account information, pricing or sales promotional information.
- Handle House Accounts or HP printer quote Sales paperwork for accounts that are not assigned to a Sales Rep.
- Provide sales leads for Reps outside of the scope of Corporate State Contract quoting.
- Ability to handle customer needs such as closing orders, deliver quotes, and develop ability to handle accounts directly.
- Responsible for preparing accurate quote sheets and price levels in E-Automate which will be turned into quotes, then ensure proper order entry steps are followed to produce order.
- Processing purchase orders and estimates date of delivery and other correspondence to customer.
- Accurately tracking all sales activity in Compass or current sales CRM.
Requirements:
Must have the ability to communicate orally with vendors, customers and sales representatives. Must have basic mathematical skills. Must be able to set and met deadlines, handle multiple tasks efficiently and complete duties independently. Operate office machinery (copiers, fax and computer.) Strong organizational skills and attention to detail. Working knowledge of Microsoft Applications.
